Make quantities, configurations, and project costs clear before the customer signs off.

Make each line item identifiable

Include a product reference, a plain-language description, the chosen configuration, quantity, and unit price. Use consistent units and make optional items visibly optional. Avoid grouping distinct configurations into one vague line if doing so makes it harder for the customer or operations team to identify what is included.

Explain the total

Separate furniture from project-specific services such as delivery, installation, or removal. State which charges are included, excluded, or still to be confirmed. Apply your own commercial rules for discounts and approvals. Any tax treatment or contractual terms should come from your company’s approved process rather than an automatically invented assumption.

Show alternatives without confusing the baseline

Keep one clear base proposal. If the customer wants alternatives, describe the substitution and the difference in price or specification. For an illustrative comparison, show option A and option B as separate choices, not as two products both included in the order. Confirm availability before presenting an alternative as deliverable.

Run a final consistency check

Compare quantities against the approved brief and layout. Check product configurations against the catalog and verify the price source. Record the proposal version and any unresolved questions. The review should let another person understand both what is being sold and what still needs agreement without reconstructing the entire conversation.
